Registration Terms and Conditions

 Full Registration
The registration fee entitles all delegates to the following:

  • All sessions
  • Satchel containing official Congress information
  • Attendance at the Congress Welcome Reception
  • Catering: Morning and afternoon teas, Lunches

Resident/ Trainee Registration
A resident/trainee is defined as a holder of a resident/trainee identification card from a recognised tertiary or secondary educational institution or a holder of an international student card.  Residents and trainees must be studying full time to qualify for the discounted rate.  Resident/trainee registrants are entitled to the following:

  • All sessions
  • Satchel containing official Congress information
  • Attendance at the Congress Welcome Reception
  • Catering Morning and afternoon teas, Lunches

Please note:  A copy of your resident/trainee identification card must be sent to the Congress Managers via fax or email to  Without this copy, the full registration fee will be charged.

Day Registrants
Day Registration entitles delegates to the following:

  • All sessions on the nominated day
  • Satchel containing official Congress information
  • Morning and afternoon tea and lunch on the nominated day

Accompanying Persons
The Accompanying Persons program entitles guests to the following:

  • Satchel containing information on local attractions
  • Attendance at the Congress Welcome Reception




Registration confirmation

Your completed registration and successful payment will be automatically acknowledged via email with confirmation of your requirements according to your registration form.  Your registration will only be confirmed on full payment of fees due.

Name badge

Each member of the Congress will receive a name badge upon registration on site at the Congress.  The badge will be your official pass and must be clearly visible at all times during the Congress to obtain entry to all sessions and to social functions.  The Congress Managers expect appropriate behaviour from attendees and reserve the right to revoke the badge and privileges of anyone behaving in an inappropriate manner.

Certificate of attendance

Should you wish to request a Certificates of Attendance please advise the Congress Managers during the Congress.   A Certificate will be issued via email after the completion of the Congress.

Group Registration

Group registration is offered when a single entity registers ten (10) or more participants.  To enquire about a group registration please email the Congress Managers at

Group registration is available to assist organisations wishing to send multiple participants to the Congress.  A list of participants must be nominated when submitting the group registration form but can be changed.  The final list of participants must be emailed to the Congress Managers fourteen (14) days prior to the commencement of the Congress.  Please note that registration fees applicable for group registrations will be the fees as advertised at the date of payment of the registration fees.

Private Touring, Private Functions, Hospitality Arrangements

Should you have any specialised group requirements for private touring, private functions, transportation or hospitality services other than those organised for the official program, please contact the Congress Managers who will be pleased to assist with arrangements.

It is requested that you advise the Congress Managers of any private /corporate functions that may be planned outside of the official program.  This will assist in smooth planning of all official and other events during the Congress.

Credit Card

Please note all online registrations require immediate payment by credit card.  Accepted credit cards are MasterCard, Visa and American Express.  Please note all transactions by credit card will appear on your statement as payment to ‘Conference by Arinex’.

From thirty (30) days prior to the Congress all registrations and accommodation bookings must be submitted online with credit card details.

Registration Fees: 
Cancellations before 16 March 2018 will incur an A$150.00 cancellation fee.
Cancellations between 17 March 2018 and 4 July 2018 will receive a 50% refund of fees paid.
Cancellations after 5 July 2018 will receive no refund.

A minimum of one night’s deposit must be paid or credit card details given at time of booking to guarantee reservation.  

Accommodation is non-refundable from 15 July 2018, and 100% cancellation policy will apply.

This information is correct at the time of publishing.  The Congress Organisers reserve the right to delete, modify or alter items or to delete, modify or alter any aspect of the Congress timetabling and delivery at their sole discretion and without notice.  Neither the host organisation(s) nor the Congress Managers will accept any liability for any loss or inconvenience caused to any party consequent to such changes.

Recordings / Copyright
The Congress Managers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the Congress for promotional, advertising or reporting of the Congress and/or its content at their sole discretion.

The Conference Managers comply with these legislations and are committed to protect the right of the individual to privacy of their information.

Arinex will not sell your personal information to third parties.  If you believe that any information we are holding on you is incorrect or incomplete, please email us and we will promptly correct the information.  You may also withdraw your consent for use of your information by advice to us in writing.

 Why do we wish you to provide your information?

We require your information to facilitate provision of information to you regarding the Conference and to facilitate your participation in the Conference.  Information collected in respect of your proposed participation in any aspect of the Conference will be used for the purposes listed below.  You can give or withhold your consent for each or all of these uses.  Please indicate your preferences when completing your registration form but please note that we will be unable to forward any information relating to the Conference or to communicate with you regarding your registration if you select ‘no’ to point 1.

What we will do with your information?

  1. Planning and conduct of the Conference including arrangements for your participation (e.g. accommodation booking);
  2. In the Delegate List published for the Conference;
  3. May also be provided to organisers of future occurrences of this Conference;
  4. May be used to provide you with information of other relevant events in your area of interest.

Important Notes:

  • The parties who will have access to your information (subject to your preference selections on above points) are the Conference Managers, the Conference host organisation (points 1 and point 4), delegates, sponsors and exhibitors of the Conference (point 2) and any future organisers of the Conference (point 3).

The parties mentioned above will rely on your above consent indications for the purposes of compliance.

  • You may withdraw your granular consent at any time by notice in writing to the Conference Managers.
  • You are entitled to access the information held by written application to the Conference Managers.
